Information we collect
Depending on how you interact with us, we collect:
- Your name, email address, optional telephone number and the contents of messages you send us.
- Information needed to administer course accounts, registrations and participation, where you use those services.
- Donation and transaction records, including donor contact details, amounts, dates, payment status and transaction references.
- Technical information, including your IP address, browser and device information, pages visited and the date and time of interactions.
- Your cookie preferences and information processed by website features you use.
We usually receive information directly from you or automatically through your use of the website. If someone introduces you to us or corresponds with us about you, we may also receive relevant information from that person.
How and why we use information
Enquiries and correspondence: We use your details to respond to you and manage our relationship with you. Our lawful basis is our legitimate interest in communicating with people interested in our work and handling their enquiries. Where your enquiry concerns entering into a contract with us, we may instead use the information to take steps you request before that contract.
Courses and services: Where you register for a course or service, we use the information needed to provide and administer it. Our lawful basis is performance of our agreement with you. Administrative records may also be needed for our legitimate interests in running and improving our educational activities.
Donations: We use donor and transaction information to administer donations, acknowledge support and maintain financial records. We rely on our legitimate interests in managing support for our work and on legal obligations where accounting or other statutory records are required.
Website operation and security: We use technical information to operate the website, prevent abuse, investigate faults and protect information. Our lawful basis is our legitimate interest in maintaining a reliable and secure website. Where consent is required for cookies or similar technologies, we request it through our cookie controls.
We do not treat an enquiry or donation as permission to add you to a marketing mailing list. If we introduce optional email updates, we will explain the arrangements when you sign up and provide a way to unsubscribe.
Contact form
Contact form submissions are stored on our website and sent to our email mailbox. They include the information you enter and technical details such as the submission time, page address, IP address and browser information.
Your email address and message are needed so that we can respond meaningfully. Your telephone number is optional. Please avoid including sensitive personal information about yourself or other people in an ordinary enquiry.
Community projects and questionnaires
Community questionnaires and project participation may involve different information and purposes from ordinary website enquiries. Health information and other sensitive personal information require additional protection and an appropriate legal basis.
This general policy does not itself constitute consent to collect or share health information. Any questionnaire requesting such information needs specific privacy information explaining its purpose, who can access responses, retention arrangements and the applicable lawful bases. Please contact us before supplying sensitive information if those arrangements are unclear.
Who receives information
Information is accessible to people authorised to administer our work and to service providers where needed to deliver their services. These include:

- Payment providers, including Stripe or PayPal where used for a donation or payment.
- Google services used by website features, including reCAPTCHA for spam protection and YouTube for embedded videos.
- Website maintenance, security and backup providers where their services involve access to personal information.
- Professional advisers, regulators or public authorities where disclosure is necessary for advice, a legal obligation or the establishment, exercise or defence of legal claims.
Payment providers process payment credentials through their own systems. Our website may retain donation records and transaction references. Do not send card details through our Contact form or by email.
We do not sell your personal information.
Cookies and external services
We use Complianz to present cookie choices. You can accept all cookies, reject optional cookies or choose your preferences, and reopen the controls through “Cookie settings”.
Our Cookie Policy is linked from the consent banner. It provides information about cookies and similar technologies. Some external features may be unavailable when optional cookies are rejected.
External websites reached through links have their own privacy arrangements.
Processing outside the United Kingdom
Some providers operate internationally, so information may be processed outside the United Kingdom, including in the United States. Using a UK hosting or email provider does not mean that every connected service processes information only in the UK.
Providers’ published terms describe their international processing and transfer safeguards. Depending on the provider and transfer, these may include UK adequacy arrangements or contractual safeguards, such as the UK International Data Transfer Agreement or the UK Addendum to standard contractual clauses.

How long we keep information
Our retention period for ordinary enquiries is up to 12 months after the last substantive contact, unless there is a continuing reason to retain relevant correspondence, such as an ongoing project, complaint or legal claim. This is a retention rule, not a promise that deletion is automated.
Course and participation records are retained according to the duration of the relationship and any continuing need to administer participation, verify completion or resolve queries.
Donation, payment and accounting records are retained for the applicable statutory accounting and tax periods. Relevant records may be retained longer where necessary to resolve a dispute or comply with a legal obligation.
Project and questionnaire records require retention arrangements appropriate to the particular project. Information that is no longer needed should be deleted or anonymised. Backup copies may remain until the relevant backup is replaced or expires.
Your rights
Depending on the circumstances and lawful basis, you may have rights to access your personal information, correct inaccurate information, request deletion, restrict processing and receive certain information in a portable format.
You have the right to object to processing based on legitimate interests, on grounds relating to your particular situation. You can also object at any time to the use of your information for direct marketing.
Where processing relies on consent, you can withdraw that consent at any time. Withdrawal does not affect the lawfulness of processing before withdrawal.

Complaints
